Regional Facilities Manager

Delighted to be supporting an established law firm looking for a Facilities Manager to assume overall responsibility for the firm estate.

 

Role Description

  • Ensure the delivery of facilities management to the highest standard and identify opportunities that will continuously improve all aspects of FM operations taking into account industry best practice.
  • Lead the Energy Management and Environmental/Sustainability focus for FM, working, where appropriate, with the Executive Director of Responsible Business.
  • Lead the management of all "hard" services, including property management, insurance, services charges, buildings, and equipment, activities in respect of rent reviews, lease renewals, lease breaks and rates reviews, liaising with 3rd party suppliers/ external stakeholders where necessary.
  • Responsible for all the health and safety compliance on site, including that of services providers and maintenance records.
  • Prioritise and manage conflicting priorities and deadlines in the face of pressure from both internal and external stakeholders.
  • Oversee the management of office space utilisation and continuously developing improved ways of working.
  • Lead and develop the management of on/off-site storage requirements.
  • Lead on FM contracts and contract management.
  • Ensure the fabric of the building – both externally and internally is maintained and serviced in accordance with the lease and agreed budgets.
  • Compile and maintain all required management information/records relating to firm, health and safety and other related records.
  • Oversee contracts to ensure the correct standard of service is provided in accordance with the agreed contract.
  • Review, validate and sign-off on invoices.
  • Ensure contingency plans are in place for emergencies; these include approved business continuity plans, disaster recovery plans etc.
  • Conduct incident reviews and Root Cause Analysis, Site Stand Downs, and drive consequence management following all safety incidents.
  • Report all accidents, occupational illnesses and emergencies in the accident book and health & safety portal.
  • Develop and maintain excellent tenant relationships and attend Landlord/tenant meetings as applicable.
  • Ensure fire and other evacuations are carried out on a regular basis in accordance with the health and safety requirements.
  • Proactively manage risk and deal with insurance issues on site.
  • Manage major work programmes on site, acting as the liaison point for all parties involved.
  • Produce management reports in accordance with the needs of the business.
  • Monitor FM works onsite and liaise with service providers/3rd party contractors.
  • Any other duties as in accordance with the needs of the firm.

 

Experience/Qualifications

  • Educated to degree level or equivalent
  • Previous regional facilities management experience within a multi let property environment. This includes Line Management responsibility for personnel and contractors and management service agreements as applicable
  • Excellent customer service, interpersonal and communication skills
  • High degree and knowledge reference of Health and Safety legislation, environmental protection requirements and ideally IOSH or NEBOSH qualified
  • A flexible approach to hours and a can-do attitude
  • Ability to work well under pressure
  • Analytical skills
  • Excellent People Management skills/experience and the ability to influence people
  • Confident in ability to make management decisions
  • Excellent communication skill (written and oral)
  • Confidence in the use of IT
  • Previous experience in a professional services industry would be preferable but not essential
  • BIFM qualification desirable
