Description:
As a Personal Assistant you will act as a primary point of contact between various Senior Managers/Executives and internal/external stakeholders whilst demonstrating professionalism and confidentiality in all interactions.
Responsibilities
- Extensive administrative support and diary management for various Senior Managers/Executives
- Arrange internal and external meetings, including team meetings and booking meeting rooms
- Minute taking
- Travel management; including arranging travel (flights, accommodation, visas), controlling travel schedules and expense management
- Arrange and co-ordinate Company related visits and corporate entertainment, liaising with other EA’s, PA’s and organisers involved as required
- Raise purchase orders
- Routinely performing a wide variety of support duties
- Liaising and working with other EA’s and PA’s and providing cover for absences as and when required
- Proactively maintaining a high level of business awareness
- Maintaining confidential and sensitive information
- Continually looking for opportunities to develop and improve procedures to maximise team efficiencies
- Help drive forward good Conduct for the business to deliver the best outcomes for customers / policyholders
Knowledge And Skills
- Knowledge and understanding of FSA and rules and regulations as well as Lloyds regulations
- Advanced Microsoft Office (Word, Excel, PowerPoint, Outlook and MS Teams)
- Excellent organisational and time-management skills with the ability to work to tight deadlines
- Exceptional communicator at all levels with the ability to build effective working relationships
- Proven ability to multitask and work with own initiative
- Adaptable with the ability to work flexibly and reprioritise effectively
- Forward thinking – identifies and works to resolve problems
- Experience in supporting financial management such as processing expenses/invoices
- Keep abreast and demonstrate clear understanding of the roles of colleagues and their relationships to the structure and strategy of the Company
