Personal Assistant

 

Description:


As a Personal Assistant you will act as a primary point of contact between various Senior Managers/Executives and internal/external stakeholders whilst demonstrating professionalism and confidentiality in all interactions.

Responsibilities
 

  • Extensive administrative support and diary management for various Senior Managers/Executives
  • Arrange internal and external meetings, including team meetings and booking meeting rooms
  • Minute taking
  • Travel management; including arranging travel (flights, accommodation, visas), controlling travel schedules and expense management
  • Arrange and co-ordinate Company related visits and corporate entertainment, liaising with other EA’s, PA’s and organisers involved as required
  • Raise purchase orders
  • Routinely performing a wide variety of support duties
  • Liaising and working with other EA’s and PA’s and providing cover for absences as and when required
  • Proactively maintaining a high level of business awareness
  • Maintaining confidential and sensitive information
  • Continually looking for opportunities to develop and improve procedures to maximise team efficiencies
  • Help drive forward good Conduct for the business to deliver the best outcomes for customers / policyholders

     

Knowledge And Skills
 

  • Knowledge and understanding of FSA and rules and regulations as well as Lloyds regulations
  • Advanced Microsoft Office (Word, Excel, PowerPoint, Outlook and MS Teams)
  • Excellent organisational and time-management skills with the ability to work to tight deadlines
  • Exceptional communicator at all levels with the ability to build effective working relationships
  • Proven ability to multitask and work with own initiative
  • Adaptable with the ability to work flexibly and reprioritise effectively
  • Forward thinking – identifies and works to resolve problems
  • Experience in supporting financial management such as processing expenses/invoices
  • Keep abreast and demonstrate clear understanding of the roles of colleagues and their relationships to the structure and strategy of the Company
