Operations Manager

 

Description:

We are seeking a highly motivated and proactive Operations Manager who will be responsible for managing a range of responsibilities relating to managing office buildings, retail units, car parks, as well as the Utilize community, including stakeholders and licence holders. As an Operations Manager, you will work closely with community organisations utilising our spaces to deliver impactful initiatives. This role plays a critical part in ensuring smooth operations, tenant management, and the successful delivery of community-focused projects.

 

Key Responsibilities:

● Responsible for day-to-day tenant management

● Conduct routine property inspections to ensure compliance with lease/licence agreements and identify any maintenance or safety issues.

● Prepare property reports and follow up on any required actions to maintain the condition and functionality of the properties.

● Ensure all operations are carried on in an appropriate, cost-effective way ● Manage budgets and forecasts

● Manage record-keeping systems including Free Agent, Sign Request, Excel, Google Forms etc

● Assist in the review and selection of suitable tenants, as well as negotiate lease terms and agreements. ● Attend to site-specific needs (sometimes out of hours).

● Support company operations by maintaining office systems and processes, ensuring efficiency and effectiveness.

● Liaise with stakeholders, including local authorities and utility companies for our spaces, to ensure compliance and resolve any related issues.

● Track space usage, including entry and exit, and maintain accurate records.

● Capture photographs and create property advertisements for various outlets.

● Liaise with suppliers such as cleaning, security, and maintenance services to ensure a well-maintained and secure environment.

● Manage invoicing processes and maintain license agreements with tenants. Knowledge and

 

Experience:

● Demonstrable skills in operations management and working in a fast-paced environment.

● Tech-savvy, with the ability to grasp the use of various software that we employ for running our systems.

● Strong interpersonal skills with the ability to build and maintain good relationships with tenants and stakeholders.

● Experience budgeting and forecasting

● Proficiency in managing databases and relevant software programs to ensure accurate record-keeping and reporting.

● Familiarity with business and financial principles

● Flexible and adaptable to varied day-to-day requirements.
