Description:
We’re looking for a highly organised and proactive Office / Production Administrator to cover a temporary role starting Monday, 21st October 2024. This is an essential role within our busy team, requiring someone who thrives in a dynamic environment and can keep multiple projects running smoothly.
About You
This is a role for a people person who loves staying busy and is exceptionally well-organised. You must have excellent communication skills, both written and verbal, and be highly proficient with IT—especially Microsoft Word and Excel.
You should be:
- A fast learner with a friendly demeanour, ready to be the first point of contact for clients and team members.
- Confident working under pressure, managing deadlines, and taking the initiative to ensure tasks are completed.
- Experienced in both administrative work & production coordination
- Comfortable building relationships over the phone, not just via email.
- Attentive to detail and able to think creatively, even in an administrative role.
Key Responsibilities
- Support production directors and senior producers and project managers in the smooth delivery of projects.
- Coordinate shoots, including logistics, booking crew, equipment, locations, and travel/accommodation.
- Draft production schedules and call sheets.
- Manage diaries to ensure timely and on-budget production delivery.
- Maintain a tidy and well-stocked office environment.
- Handle “front of house” tasks—answering phone calls, emails, and welcoming visitors.
- Liaise with both internal and external teams, as well as clients, ensuring they are updated on project progress.
- Keep production management tools up-to-date.
- Tackle varied administrative tasks to keep the office running smoothly.
Essential Skills and Experience
- At least 1 year of administration experience.
- Production coordination / production manager experience in a professional setting (not just student or similar productions)
- Strong written and verbal communication skills, with an excellent telephone manner.
- Proficiency with Microsoft Office and Google Workspace.
- Interest in video production (experience is an advantage).
- Previous experience in client-facing roles
- A degree or equivalent training is advantageous, but not essential.
