Mortgage Support Administrator

Working collaboratively with and supporting the Independent Financial Advisers, Directors and Adviser Support team in line with Melville Core Brand Values commitments to our Clients.

This is a Full-Time position located in our office in Edinburgh.

 

Key Responsibilities:

Application Processing Support: Personal Protection

o Assist with the keying and submission of protection applications.

o Ensure all necessary documentation is complete, accurate, and submitted on time.

o Liaise with mortgage advisors, underwriters, and clients to gather additional information when required.

 

Document Management:

o Maintain an organized filing system, both physical and digital, for all client documents.

o Scan, upload, and categorize documents in the company’s client database.

o Ensure compliance with data protection regulations when handling sensitive information.

 

Client Communication:

o Prepare and send out client correspondence, including compliance documents, invoices, suitability reports and completion emails.

o Handling client inquiries, coordinating requests for additional documentation, and managing the distribution of policy documents when necessary.

 

Administrative Support:

o Format and sense check reports for the mortgage advisers prior to issuing.

o Assist in tracking and managing the pipeline of mortgage applications to ensure timely processing.

o Updating records to ensure accuracy within each step of the process, especially on completion.

o Lodging commission on the client database and keeping track of any aged debt accrued.

 

Other Duties:

o Provide general administrative support to the mortgage team as required.

o Participate in team meetings and contribute to process improvement discussions.

o Assist with the training of new staff members as required.

 

 

Required Skills:

o Ability to develop an understanding of the working practices and regulations operating within the Financial Services Industry.

o Ability to develop technical knowledge of financial services products

o Excellent communication skills, both written and spoken

o Ability to communicate confidently and comfortably at all levels with all clients on behalf of the Company

o Competent IT skills, including Word and Excel

 

Desirable Skills:

o Demonstrate a thorough understanding of the working practices and regulations operating within the Financial Services Industry.

o Possess technical knowledge of products liable to be offered to clients, including all pensions, investment and protection contracts

o Knowledge of finance services software, including Xplan and Genovo
