Marketing Events Specialist

 

Description:

The Marketing Events Specialist is responsible for working with the Marketing Manager, Operations and Conferences to ensure flawless execution of conferences/trade shows for the global team in the US and EU. This includes optimizing conference participation and engagement through pre-conference outreach activities. There are also post conference activities including tracking business opportunities that come from conferences over the short and long term. The marketing events specialist will also provide support with marketing operations such as, tracking public relations media placements, ensuring key content is reviewed by internal experts before being published and managing an editorial calendar.

Management Of Conference Planning And Logistics
 

  • Responsible for keeping all-conference trackers updated
  • Keep the team updated with upcoming conferences (across Global location), including sending regular email updates to establish who will be attending and where the BU’s can collaborate. Also helping run monthly calls with the team, when required.
  • Organize the conference badge registration, speaking spots, exhibition space, hotels and more for the agreed conferences (playbook available)
  • Arrange the shipments/couriers for the booth skins, tablecloths, collateral and giveaways
  • Work closely with the conference manager and our booth vendor on our larger trade shows to help coordinate the booth layout and design, ensuring all deadlines are met and required forms are submitted
  • Ensure the conference organisers have all the correct booth requirements, logos, speaking abstracts, and company profile. Ensuring their websites have all the correct company information listed
  • Set up regular team prep calls leading up to the conferences, also arranging debrief calls to collect feedback from the team
  • Ensure we are always following the conference outreach and follow-up processes before and after each conference to help maximise ROI
  • Create all necessary logistic documents, trackers etc.
  • Help with booking restaurants for client dinners and helping source venues for client events
  • Create social posts and email banners for conferences
  • Help coordinate a posting schedule for these social posts to help with our exposure that these conferences
  • Support with LinkedIn paid social campaigns
  • Support with email blasts to relevant targets
  • Support the BD team where needed with client outreach coordination leading up to trade shows- scheduling calls and following the current outreach process
  • Manage the master meeting tracker for our larger trade shows- updating the clients meeting and lunch/dinners
  • Support our conference speakers with preparing for their presentations- slides and prep calls
  • Occasionally attend conferences to coordinate meetings at the booth and ensure booth activities run smoothly
  • Ensure all meeting feedback, follow up notes are collected from the team and updated in Salesforce
  • Help track the proposals and business opportunities we receive from the client meetings in SF
  • Support with conference ROI reporting
  • Responsible for conference invoices and budget tracking
  • Help keep all marketing tools updated and current so we can track conference ROI
  • Ensure presentations from conferences are recorded and turned into PR pitches, articles and social media posts
     

Management Of Content Tracking And Publication
 

  • Manage an editorial calendar of content in the pipeline, publication and atomization schedule
  • Manage the content tracker and send regular updates to the team with upcoming and recently released content
  • Manage the content review process
  • Ensure conference and PR related content is posted to the company websites in a timely fashion
  • Support the production of an internal monthly newsletter
     

Qualifications
 

  • Bachelors degree (or equivalent experience)
  • Relevant events experience required
  • Event management - particularly related to conferences, and across different locations
  • Experience with measurement using technology tools & resources and social media
  • Experience and proficiency with Microsoft Office Suite: Word, Excel, PowerPoint, Outlook, SharePoint and other project management and sharing tools, advance communication tools
  • Excellent communication skills, written and oral (Business level English essential)
  • Experience in building service-based relationships with senior executives
  • Excellent attention to detail and prioritising
  • Excellent organisation and project management skills
  • Comfortable with a fast-paced environment and deadline driven
