Description:
We are seeking a dedicated and resourceful Finance and Operations Support Officer to join our team and provide crucial support to the Director of Operations and the leadership team. The successful candidate will play a pivotal role in ensuring the smooth functioning of our finance and operations activities, contributing to the effective delivery of our social change initiatives.
Key Responsibilities:
Financial Administration:
- Assist in maintaining accurate financial records, including accounts payable/receivable, expense tracking, and budget monitoring.
- Process invoices, expense claims, and financial transactions in a timely and efficient manner.
- Support the preparation of financial reports, forecasts, and budgets as required.
- Liaise with external stakeholders such as vendors, clients, and financial institutions to resolve queries and ensure compliance with financial regulations.
Operational Support:
- Provide administrative support to the Director of Operations and the leadership team, including scheduling meetings, managing correspondence, and organising travel arrangements.
- Coordinate logistical arrangements for events, workshops, and other organisational activities.
- Assist in the development and implementation of operational policies, procedures, and systems to enhance efficiency and effectiveness.
- Conduct research and analysis to support decision-making and strategic planning initiatives.
Data Management and Analysis:
- Maintain databases and information systems to ensure accurate and up-to-date records.
- Analyse data and generate insights to inform organisational decision-making and performance evaluation.
- Prepare presentations, reports, and dashboards to communicate key findings and recommendations to stakeholders.
Compliance and Risk Management:
- Monitor compliance with legal, regulatory, and contractual requirements, identifying potential risks and proposing mitigation strategies.
- Support the implementation of internal controls and risk management frameworks to safeguard organisational assets and reputation.
Qualifications and Experience:
- Bachelor's degree in Finance, Accounting, Business Administration, or a related field.
- Proven experience in financial administration, operations support, or related roles, preferably within the non-profit or social sector.
- Strong proficiency in financial management software, Microsoft Office suite, and data analysis tools.
- Excellent organisational skills with the ability to prioritise tasks and manage multiple deadlines effectively.
- Strong analytical and problem-solving abilities, with keen attention to detail.
- Excellent communication skills, both written and verbal, with the ability to interact confidently with stakeholders at all levels.
