Description:
The Executive Legal Assistant will provide comprehensive legal and administrative support to the CEO.
This individual will manage legal documents, oversee compliance matters, coordinate with external accountants and assist in corporate governance activities.
The ideal candidate will have a strong background in legal support roles, exceptional organizational skills and experience working in fast-paced start-up environments.
Key responsibilities:
Legal support:
- Assist the CEO in managing legal matters, including contracts, corporate documents, and intellectual property.
- Draft, review and revise legal documents and correspondence.
- Coordinate with external legal counsel on various legal issues and transactions.
Compliance & Governance:
- Ensure the company’s compliance with legal and regulatory requirements.
- Maintain corporate records, including board minutes, resolutions and other governance documents.
- Monitor changes in relevant laws and regulations and advise the CEO on potential impacts.
Administrative support:
- Manage the CEO’s calendar, schedule meetings and coordinate travel arrangements.
- Prepare agendas, presentations and reports for meetings.
- Handle confidential and sensitive information with discretion.
Contract management:
- Oversee the company’s contract management process, including drafting, reviewing and tracking contracts.
- Ensure all contracts are properly executed and stored.
- Assist in negotiating contract terms and conditions.
Stakeholder coordination:
- Serve as a liaison between the CEO and internal/external stakeholders.
- Facilitate communication and coordination with investors, partners and board members.
- Organize and prepare materials for board meetings and other key engagements.
Project management:
- Assist in the planning and execution of special projects and strategic initiatives.
- Track project timelines, deliverables and milestones.
- Provide regular updates to the CEO on project status and progress.
Required skills & Qualifications:
- Education: Bachelor’s degree in Law, Business Administration, or a related field. Paralegal certification preferred.
- Experience: Minimum of 5 years of experience in a legal assistant or paralegal role, preferably within a start-up environment.
- Legal Knowledge: Strong understanding of corporate law, contract law, and regulatory compliance.
- Organizational Skills: Exceptional organizational and time management skills.
- Attention to Detail: High level of accuracy and attention to detail.
- Communication: Excellent written and verbal communication skills.
- Discretion: Ability to handle confidential information with integrity.
- Tech-Savvy: Proficient in using legal research tools, document management systems, and Microsoft Office Suite.
