Description:

CFA Institute is seeking a highly organized, detail-oriented, and proactive Executive Assistant to join its London office, supporting two key senior leaders: the Chief Financial Officer and the Managing Director, Research, Advocacy & Standards.

This role is ideal for a professional who excels at managing complex schedules, coordinating with global stakeholders, and ensuring seamless day-to-day operations. Acting as the first point of contact for these leaders, the Executive Assistant will play a pivotal role in enabling their productivity and ensuring they remain focused on strategic priorities.

Key Responsibilities:
✅ Manage the calendars and schedules of both Managing Directors, ensuring efficient time management across competing priorities
✅ Handle all internal and external communications on behalf of the Managing Directors, serving as a professional first point of contact
✅ Coordinate and prepare materials for meetings, including agendas, minutes, action tracking, and follow-ups
Arrange and manage complex international travel itineraries, including visa applications and travel logistics
✅ Create high-quality presentations, reports, and briefing documents for leadership meetings, including the Board of Governors
✅ Prepare expense reports and ensure compliance with internal policies
✅ Take ownership of quarterly event planning, including scheduling, logistics, and ensuring smooth execution
✅ Proactively streamline processes, identify operational efficiencies, and anticipate the needs of the Managing Directors
✅ Support broader business operations initiatives, such as process optimization, stakeholder engagement, and special projects (for candidates with an interest in expanding their impact)


Required Qualifications & Skills:
🔹 At least 5 years of Executive Assistant experience, ideally supporting multiple senior leaders simultaneously
🔹 Proven track record of managing complex calendars and handling global scheduling across multiple time zones
🔹 Demonstrated experience arranging international travel, including visa processing and handling travel disruptions
🔹 Experience in event coordination is a plus
🔹 Exceptional attention to detail, with the ability to juggle multiple responsibilities and remain calm under pressure
🔹 Strong sense of professionalism and discretion, with experience handling confidential and sensitive information
🔹 Excellent written and verbal communication skills
🔹 Advanced proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook)


Salary & Benefits:
💼 Salary Range: £50000 to £60000 per year, depending on experience and qualifications
