Description:
Cooley (UK) LLP is seeking a dynamic Event Planning Manager (Europe) to join its Marketing and Business Development team on a 6-month fixed-term contract. This is a hybrid role based in London, requiring some in-office presence. The role is part of Cooley’s global Events team, working closely with the European Marketing Team, focusing on maximising value from sponsorships and delivering well-executed events that support the business development goals of Cooley’s London and Brussels offices.
This position requires creativity, proactivity, exceptional organisational skills, and the ability to handle multiple projects across different regions. You will also collaborate with partners, directors, and internal teams, contributing to global event initiatives beyond Europe when needed.
Key Responsibilities:
- Plan, organise, and implement marketing events (hosted and sponsored) to ensure high-quality attendee experiences and strong ROI.
- Serve as primary point of contact for all assigned events.
- Manage all pre-event logistics, including invitee lists, reminders, venue/vendor selection, and internal coordination.
- On-site event representation to ensure smooth execution.
- Manage virtual events using Zoom, ensuring seamless delivery.
- Lead in managing London-based sponsorships and corporate hospitality relationships, including the O2 Arena box.
- Collaborate with the Marketing and Business Development team to align events with broader business development strategy.
- Source venues (hotels, restaurants, event spaces), negotiate contracts, and oversee all logistics such as catering, transport, AV, branding, and giveaways.
- Conduct post-event evaluations, assessing satisfaction and measuring ROI.
- Build and manage detailed event budgets, tracking all expenses.
- Work closely with internal teams (Facilities, Catering, IS) to support event execution.
- Use Salesforce for invitee management, RSVP tracking, and post-event follow-up.
- Develop creative event themes with the in-house design team.
- Work with internal communications to amplify events via social media and PR campaigns.
- Build and maintain an international network of event planners and vendors.
- Manage relationships with external partners (trade organisations, conference organisers, sponsorship contacts).
- Ensure all events are appropriately posted on Cooley’s website and internal calendars.
- Work closely with Cooley’s CLE team for accredited events.
- Manage on-site staff assignments, ensuring smooth event-day operations.
- Collaborate with the London Events Coordinator, ensuring alignment with work hours and policies.
- Contribute to process improvements and the implementation of best practices.
Skills & Qualifications:
- Proven events management experience within a law firm or professional services environment.
- Strong creativity and innovation in event planning.
- Exceptional written and oral communication skills.
- Excellent interpersonal skills, with the confidence to engage with senior stakeholders.
- High proficiency in Microsoft Office and firm-related software (e.g., iManage).
- Ability to work extended hours and travel as needed.
- Strong Zoom proficiency for virtual events.
- Skilled in vendor negotiations, especially with hotels and catering suppliers.
- Supervisory experience, with the ability to manage on-site teams.
