Role Description
We are looking for a full-time Bid Co-ordinator to join our team and provide bid support to our Partners, Senior Architectural staff and marketing and business development team. A hybrid role, the position will be located in Edinburgh - however we have studios throughout the UK - and could also consider Glasgow, Oxford, Inverness, Ardgay or Galashiels.
The Bid Co-ordinator will be responsible for co-ordinating the submission of pre-qualification questionnaires and tender submissions. Reporting to the Partner responsible for Business Development and Marketing, the role will include:
- Monitoring procurement portals to identify potential opportunities and distributing tender documents as appropriate
- Uploading tenders to procurement portals, ensuring that all documents that have been requested are included
- Providing the administrative support for bids including liaising with consultants, arranging tender prep meetings, collating bid information and managing the bid tracker for the practice
- Working with a graphic designer on the look and feel of bids and capability statements.
- Using Indesign to produce tender documents within a defined template.
- Providing generic answers and company information for Pre-Qualification Questionnaires and Invitation to Tenders
- Ensuring generic answers library is up to date
- Proof reading of submissions
- Using Open Asset to prepare case studies and CVs
- Completing SPD questionnaires
PERSON SPECIFICATION
Essential
- A minimum of one years of experience in a bids role, preferably within the construction or architecture industry
- Strong writing, editing, and proofreading skills, as well as experience with formatting and printing bid documents
- Familiarity with UK tendering processes
- Excellent time management and organisational skills
- The ability to work in a team environment and collaborate with colleagues to produce high-quality bids and tenders
- A team mentality and flexible attitude
- Attention to detail
- Ability to work well under pressure and meet multiple deadlines
- Confidence in supporting senior staff
- Demonstrable proof-reading experience
- Good Microsoft Office skills
- Strong administration and organisational skills
Desirable
- Adobe Indesign skills strongly desirable
- Copy writing experience
